OVERVIEW:
The Equipment Management Module allows you to keep a detailed list of all equipment, to help keep track of equipment inspections.
Below, you will see how to add a new equipment item to the system. You may then want to refer to the separate tutorial, "Create an Equipment Inspection Template" for future inspections of that new item.
Unlike other modules, equipment items are not necessarily associated with a particular Project (or Worksite or Department). However there is an option to include an Assigned Location and/or an Assigned Project.
A QR Code is generated that can be physically attached to the new piece of equipment, then scanned for streamlined inspections.
GETTING STARTED
• Click Administrative Tools in the left menu
• Click the large icon on the left of the Equipment Management card
ADDING A NEW PIECE OF EQUIPMENT
STEP 1
A In the Equipment Management List view, click Create New at the top
STEP 2
A In the Add Equipment window, type in a unique identifier in the Equipment ID field (mandatory)
This can be a serial number, an asset inventory number, or any other identification system your company uses, as long as it is different for each piece of equipment (not each type of equipment).
B In the Category field, use the down-arrow to select from pre-defined Equipment Category options (optional, but recommended)
If there is no appropriate Category in the list, you can add a new Equipment Category by clicking the Plus Sign; typing in the Name of the new Category; clicking Save; then closing the window.
C In the Inspection Template Categories field, use the drop down to add one or more Template Categories
D In the Description field, type in a brief description of the item (mandatory)
The other fields on this page are optional, but it’s smart to fill out as many as possible, to have detailed documentation on hand for all the Equipment at your company.
E Click Save at the bottom, then close that window
Each new item you add will now appear in the Equipment Management list, which is in alphabetical or numerical order based on the Equipment ID. You can also use the Filters or Search functions to narrow the list and find a specific item.
QR CODES
The system generates a unique QR code for each new item. Click the QR code icon in the left column of the Equipment List to open it. You can then drag the QR code to your desktop, and forward it for creating a sticker that can be attached to the new piece of equipment.
When Equipment Inspections are being done, the inspector can use the Mobile App to scan that QR code sticker. That will bring up the appropriate Inspection Template, as well as details about that item, its inspection history, and its maintenance history.
