OVERVIEW

To keep all your company’s Audit Templates organized, they are divided into Audit Template Categories. 

To keep all the Questions within a certain Template organized, they are divided into Audit Question Categories.

For multiple-choice type Audit Questions that can be used over and over in various Audit Templates, you can create an Audit Question Choice Set. You can then add that Set to any Audit Template.

CREATING A NEW AUDIT TEMPLATE CATEGORY  

 

STEP 1
  1. Click on Tasks in the left menu
  2. In the Audit Card, click the small Gear/Settings icon on the right

STEP 2

  1. Click Audit Template Categories in the left menu to see the current list of Categories
  2. At top, click + Create New to add a new Template Category

STEP 3

  1. Type in a Name for the new Category
  2. Include a Description (optional)
  3. Click Save (green Disk icon)

When you close that box, you’ll see that the new Category has been added to the list, in alphabetical order.

To edit that Category later, select it in the list; click the Pencil icon at top; make your edit; then Save. To delete that category, select it, then click the red Trash Can icon.

CREATING A NEW AUDIT QUESTION CATEGORY  

STEP 1

  1. Click on Tasks in the left menu
  2. In the Audit Card, click the small Gear/Settings icon on the right

STEP 2

  1. Click Audit Question Categories in the left menu to see the current list of Categories. 
  2. At top, click + Create New to add a new Audit Question Category

  1. Type in a Name for the new Category, in ALL CAPS
  2. Include a Description (optional)
  3. Click Save (green Disk icon)

When you close that box, you’ll see that the new Category has been added to the list, in alphabetical order.

To control the order of items as they appear in the list, you may want to add a letter at the beginning of each Category name. For example: A: JOBSITE SCAFFOLDING; then B: PERSONAL PROTECTIVE EQUIPMENT; etc.

To edit that Category later, select it in the list; click the Pencil icon; make your edit; then Save. To delete that category, select it, then click the red Trash Can icon.

CREATING A NEW AUDIT QUESTION CHOICE SET  

You may create a standard set of answer options for multiple-choice audit questions that can be used in multiple Audit Templates. This way, a common set of answers won’t have to be recreated from scratch each time they’re needed.


STEP 1

  1. Click on Tasks in the left menu
  2. In the Audit Card, click the small Gear/Settings icon on the right

STEP 2

  1. Click Question Choice Sets in the left menu to see the current list
  2. At the top, click + Create New to add a new Question Choice Set

STEP 3

  1. Type in a Name for the new Question Choice Set
  2. Include a Description (optional)
  3. Click Save (green Disk icon)

STEP 4

  1. Click Question Choices in the left menu
  2. Click + Create New, then under Name, add the first multiple-choice answer option
  3. Under Name, enter that answer option
  4. Click under Percent Value, the enter a number to give a ‘Weight’ to that answer. Typically, the first answer option has a Value of 100.
    •   Repeat actions B through D to add other answer options (with Percent Values in decreasing order). The last item, which is the most unacceptable, may not have a Percent Value at all.
  5. When done, click the green Disk/Save icon

ADDING AN AUDIT QUESTION CHOICE SET TO AN AUDIT TEMPLATE  

After you have created a new Audit Question Choice Set, you may want to add it to one or more Audit Templates.

STEP 1

  1. Click on Tasks in the left menu
  2. In the Audit Card, click the small Gear/Settings icon on the right

STEP 2

  1. Click on Audit Templates in the left menu
  2. Find and double-click the Template you want, to open it

STEP 3

  1. Click Questions in the left menu
  2. At the top, click  Plus sign at top, and select Multiple Choice Question

STEP 4

  1. In the Question field, type in the Audit Question, or the item/behavior that’s being assessed
  2. Under the Question Choices heading, click From Question Choice Set

STEP 5

  1. In the Picker screen, add a checkmark next to the name of the Question Choice Set you have created
  2. At the bottom, click + Add Selected
  3. Then click the green Disk/Save icon to Save

  1. In the Add Audit Question window, click Save at the top

That Question Choice Set will now appear in that Audit Template.
