Conduct an Audit on Mobile

OVERVIEW:

Recording audit results is quick and easy, using various audit templates on the Safety Indicators Mobile App. Once complete, that data is automatically uploaded to the database.

STARTING A NEW AUDIT  

STEP 1

  1. After opening the Mobile App on your phone, choose and tap the appropriate Project (or Worksite, Department, or whichever designation your company uses)
  2. In the list of available Applications, tap Audits
  3. Below the list of current Open and Complete Audit Templates, tap Create New Audit

STEP 2

  1. Tap the appropriate Audit Category (gray background)
  2. Then tap on the Audit Template you want (white background)
  3. Tap the down-arrow in the Assignee field, and select the name of the person conducting this Audit
  4. The Description, Stakeholders, Contractor and Jobsite Locations fields are optional. If you select a Jobsite Location, you may be prompted to type in a Jobsite Specific Location
  5. When done, tap Next at the bottom

  RECORDING AUDIT RESULTS  

Audit questions are grouped by category (blue background)

  • If the answer options are Acceptable or Unacceptable, simply tap the appropriate response
  • If the answer is based on a numeric scale, use the slider to designate a ‘score’ as the answer
    For example, on a 1 to 5 scale, 5 means completely satisfactory; 2 indicates a problem area that requires Corrective Action.

  ADDING NOTES TO AN AUDIT RESULT  

  1. IF you’d like to include other information regarding an issue that requires follow-up, tap the square Note icon on the right.
  2. Tap and type to add Notes, or the name of the corrective action Assignee
  3. Tap the first calendar icon to select a Due Date for the corrective action to be completed
  4. To include a photo of the problematic issue, tap the Camera icon at lower right. 
    Then tap Gallery to select an existing saved photo, OR tap Camera to take a new shot.
You can also take or submit photos that relate to the overall Audit, by tapping the white Camera icon at the top right of the screen.

   To close the Notes section, tap again on the square Notes icon

Note the overall Audit Score at the bottom of the screen. This number changes dynamically as you progress through the Audit. 

COMPLETING THE AUDIT  

•   When you’ve completed all the Audit answers, be sure to tap SAVE to save your Audit responses. The system does not autosave them

If you need to revisit or revise the General Info, tap View Audit Summary at the top, at any time.

Audit Status: The Current Status of an Audit is shown at the top. A newly completed Audit is typically in ‘Draft’ status.  An audit that revealed correctable issues typically has a Status of ‘Pending Resolution’. The Status designation can be changed using the down-arrow. You can adapt the Status system to suit your company’s workflow. 

VIEWING A PREVIOUS AUDIT  

 •  Selecting the Project (etc.) and tap Audits, 

 •  From the list of Open and Complete Audits, tap the one that you're interested in, to open it

In the Audit list, an open item with a Corrective Action that has not been completed by its Close Date is automatically tagged with a red “i” icon (which can be tapped to see details).
