OVERVIEW:
If no inspection template exists for a piece of equipment, OR a new equipment item has been acquired, you will learn below how to create an Equipment Inspection Template for it.
The first step is to specify some details for the new template. Drop-down options are provided for some of those details. If there is not an appropriate option available, there are instructions below for adding one.
The second step of the process is to create a list of relevant inspection questions. The process is similar to developing an Audit template.
GETTING STARTED
- Click Administrative Tools in the left menu
- Click the large icon on the left of the Equipment Management card
CREATING A NEW EQUIPMENT INSPECTION TEMPLATE
STEP 1
- Click Administrative Tools in the left menu
- In the Equipment Management card, click the Gear/Settings icon
STEP 2
- On the left, select Equipment Inspection Templates, the last item in the menu
- At the top, click Create New
STEP 3
A In the Add Equipment Inspection Template window, type in a Title for the new Template
B In the Category field, use the drop-down to select a Template Category
If there is no appropriate Category in the list, you can add a new Template Category by clicking the Plus Sign; typing in the Name of the new Category; clicking Save; then closing the window.
C Optionally, in the Renewal Days field, you can add the number of days between inspections
The system will automatically calculate the date of the next inspection, which will appear in List View
D Click Save
ADDING QUESTIONS TO THE NEW INSPECTION TEMPLATE
STEP 1
A On the left, click Questions to begin adding questions to the new Inspection Template
B At the top, click Create New, then for the first question, select the type of question you want
STEP 2
A In the Question field, write in the first question you want to include
B Although not required, it’s a good idea to choose a Category from the drop-down options. If an appropriate Question Category isn’t listed, click the Plus Sign in that field and add one.
C If it is a Yes/No Question, you’re done; click Save at top
• Continue this process until all the Questions have been added. You will see them all listed in that Inspection Template’s list of Questions
ADDING OPTIONS TO THE DROP-DOWN FIELDS
These are the fields that appear in the Add Equipment window.
STEP 1
- Click Administrative Tools in the left menu
- In the Equipment Management card, click the Gear/Settings icon
STEP 2
A On the left, select either Equipment Categories, Equipment Locations, or Equipment Template Categories
B Click Create New at top
STEP 3
A In the Add Item window, type in the Name of the new item you are adding
B Click Save, and close
