Schedule and Assign an Equipment Inspection

OVERVIEW:

Setting up a new inspection of one or more pieces of equipment mainly involves scheduling the inspection, and assigning someone to conduct it. 

A list of scheduled inspections is maintained in the system, along with the status of each of them.

GETTING STARTED  

  1. Click Tasks in the left menu
  2. Click the large icon on the left of the Equipment Inspections card

CHOOSING THE TEMPLATE AND EQUIPMENT  

STEP 1

A  Above the list of Equipment Inspections, click Create New at the top. Then navigate from ‘Inspection Template,’ to the appropriate Template Category, and then to the list of Inspection Templates

B  Click on the name of the Inspection Template you want to use, from the one or more listed
Note that only Equipment Inspection Templates that haven been assigned to a Category will appear here.

STEP 2

A  In the Add Equipment Inspection window, put a checkmark next to the pieces of equipment you want to include in the scheduled inspection
To select all items in the list, put a checkmark next to Equipment ID at the top.

 At the bottom, click Next

SCHEDULING AND ASSIGNING THE INSPECTION  

STEP 1

A  For the first item in the Enter Inspection Details window, the Planned Inspection Date field shows today’s date by default. If that is not the intended date for completing the Inspection, click in that field, then click on the calendar icon to set a date for Inspection completion

B  The Assignee field typically shows your name by default. If someone else will be conducting the Inspection, click the down-arrow and select the appropriate person

C  Click Update to confirm the changes you have made

DO NOT enter anything in the Inspect Date field. This will be completed by the assigned Inspector once they have completed the Inspection.

IF you want all the items in the list to be inspected by the same Date, and by the same Assignee, instead of specifying those details for each item, click Mass Update at top. Then, in the Mass Update window, complete the Assignee and Planned Inspect Date fields, then click Apply All

D  In the Enter Inspection Details window, click Finish at the bottom

If the proper notifications have previously been set up, the Assignee will receive their Inspection Assignment via email.

The inspection(s) you just scheduled will now be included in the list of Equipment Inspections (you may need click the Refresh icon at the bottom of the window).
Once the Inspection has been completed, its listed status will show as Completed in the item’s Inspection Date field.
